FORME3 — Privacy Policy

FORME3 (UEN: 202536354K) ("FORME3", "we", "us" or "our"), of 61 Ubi Road 1, Oxley Bizhub #04-15, Singapore 408727, is a Singapore-based interior design and renovation company. We are committed to protecting the personal data of visitors to our website (forme3.com.sg), our WhatsApp and email channels, and our social media pages (together, our "Channels"), and to handling that data responsibly and transparently, in accordance with the Personal Data Protection Act 2012 (No. 26 of 2012) of Singapore, as amended ("PDPA"), and any subsidiary legislation, regulations and guidelines issued by the Personal Data Protection Commission of Singapore ("PDPC").
This Privacy Policy explains what personal data we collect, why we collect it, how we use, disclose, store and protect it, and what rights and choices you have. It applies to all visitors, prospective clients and clients who interact with our Channels. Please read this Policy carefully. By submitting an enquiry, requesting a quotation, engaging our services, or otherwise providing us with your personal data, you acknowledge that you have read and understood this Policy and, where required, consent to the practices described in it.
1. Consent
Save where permitted or required by the PDPA or other applicable law, we will only collect, use or disclose your personal data with your knowledge and consent, or where deemed consent or an exception under the PDPA applies (for example, where the collection, use or disclosure is necessary for a contract you have asked us to enter into, such as preparing a renovation quotation).
You may withdraw consent to our collection, use or disclosure of your personal data for a given purpose at any time by giving us reasonable notice using the contact details in Section 15. If you withdraw consent, we will inform you of the likely consequences — for example, we may not be able to continue providing a quotation, design proposal or renovation service that depends on that data. Withdrawal of consent does not affect any collection, use or disclosure that occurred before the withdrawal took effect, and does not affect our ability to continue processing your data where permitted or required by law (for example, to complete an existing contract or comply with accounting and tax obligations).
2. Personal Data We Collect
The personal data we collect depends on how you interact with us. It may include:
Contact and identification data — your name, email address, mobile/WhatsApp number, and (where you choose to provide it) your residential or business address;
Enquiry and project data — details you share about your property (e.g. HDB flat, condominium, landed home, shophouse or commercial unit), floor plans, photographs of your existing space, renovation budget, design preferences, timeline and other information you provide via our contact form, WhatsApp or email in order for us to prepare a proposal or quotation;
Communications — the content of messages, calls and emails between you and FORME3, and records of site visits or consultations;
Transaction and contract data — information relating to any contract, invoice or payment, where you engage us for renovation or design services;
Marketing preferences — your choices about receiving marketing or promotional communications from us; and
Technical and usage data — IP address, device and browser type, referring pages, and browsing activity on our website, collected via cookies and similar technologies (see Section 8).
Where you provide us with personal data about another individual (for example, a co-owner, family member, or a contractor at your worksite), you confirm that you have obtained that individual's consent, or are otherwise entitled, to disclose their personal data to us for the purposes set out in this Policy.
3. How We Collect Personal Data
Directly from you, when you submit our website contact/quotation form, message us on WhatsApp, email us, call us, or meet with us for a consultation or site visit;
Automatically, through cookies and analytics tools when you browse our website (see Section 8); and
From third parties, such as a referral from a friend or contractor, or from publicly available sources, where you have consented to such disclosure or the PDPA otherwise permits it.
4. Purposes for Which We Collect, Use and Disclose Personal Data
We collect, use and disclose personal data only for purposes that a reasonable person would consider appropriate in the circumstances, including to:
respond to your enquiry and prepare and send you a design proposal or renovation quotation;
plan, design, cost, execute, supervise and hand over your renovation or interior design project, including coordinating with sub-contractors and suppliers;
manage our contract with you, including invoicing, payment collection and after-sales or warranty support;
communicate with you about your enquiry or project, including scheduling site visits and consultations;
send you marketing or promotional material about our services, where you have consented (or have not opted out, as permitted under the PDPA), and which you may opt out of at any time;
maintain and improve our website and services, including through analytics on how our Channels are used;
comply with our legal and regulatory obligations, including accounting, tax and record-keeping requirements; and
establish, exercise or defend legal claims, and otherwise as required or permitted by law.
We will not use your personal data for a new purpose that is not reasonably related to the purposes above without first notifying you and, where required, obtaining your fresh consent.
5. Disclosure of Personal Data
We do not sell your personal data. We may disclose personal data to the following categories of recipients, only as necessary for the purposes described in Section 4, and subject to contractual or other obligations requiring them to protect your data to a standard comparable to the PDPA:
sub-contractors, tradesmen, suppliers and vendors engaged to carry out design or renovation works on your project;
service providers who support our operations, such as website hosting and e-commerce platform providers, WhatsApp Business and email/communication platforms, cloud storage and customer-relationship-management (CRM) tools, and payment or accounting service providers;
our professional advisers, such as lawyers, accountants and auditors, where reasonably necessary; and
government ministries, regulators, statutory boards or law enforcement agencies, where required or authorised by law, or to comply with a legal process.
6. Overseas Transfer of Personal Data
Some of the service providers referred to in Section 5 (for example, website hosting, cloud storage or messaging platforms) may store or process personal data on servers located outside Singapore. Where we transfer personal data overseas, we take reasonable steps to ensure that the recipient is bound by legally enforceable obligations to provide a standard of protection to the transferred personal data that is comparable to the protection under the PDPA, in accordance with the PDPA's Transfer Limitation Obligation.
7. Cookies and Similar Technologies
Our website uses cookies and similar technologies (for example, through our website hosting platform and any analytics or advertising tools we use) to operate the site, remember your preferences, and understand how visitors use our website so that we can improve it. Cookies may collect technical and usage data such as your IP address, browser type, device information and pages visited.
You can control or disable cookies through your browser settings; however, doing so may affect the functionality of our website. Where required by law, we will obtain your consent before placing non-essential cookies on your device.
8. Marketing Communications and the Do Not Call Registry
We will only send you marketing or promotional messages (including by phone call, SMS, WhatsApp or email) where you have given consent, or where permitted under the PDPA (for example, where you are an existing customer and the message relates to similar services, subject to your right to opt out). Before sending marketing messages to a Singapore telephone number, we will check the National Do Not Call (DNC) Registry where required, and will honour any DNC registration or opt-out.
You may withdraw consent to marketing communications, or opt out at any time, by using the unsubscribe link in our emails, replying "STOP" to our SMS/WhatsApp messages, or contacting us using the details in Section 15. We will give effect to your request within a reasonable time.
9. Retention of Personal Data
We retain personal data only for as long as necessary to fulfil the purposes for which it was collected, or as required or permitted by applicable law (for example, accounting and tax records are generally retained for the period required under the Income Tax Act 1947 and the Goods and Services Tax Act 1993, and contractual records for the duration of any applicable limitation period). When personal data is no longer needed for these purposes, we will securely delete, anonymise or dispose of it.
10. Protection of Personal Data
We implement reasonable technical, physical and administrative security arrangements to protect personal data in our possession or under our control against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. These include access controls, secure storage of physical and electronic records, use of reputable third-party platforms for hosting and communications, and confidentiality obligations for our staff and sub-contractors who handle personal data. No method of transmission or storage is completely secure, and while we strive to protect your personal data, we cannot guarantee its absolute security.
11. Accuracy of Personal Data
We take reasonable steps to ensure that personal data we collect, or that is used to make a decision affecting you or disclosed to another organisation, is accurate and complete. Please help us keep your information up to date by informing us promptly of any changes, such as a change in your contact number or address.
12. Access to and Correction of Personal Data
You may request access to, or correction of, the personal data we hold about you by contacting us using the details in Section 15. We will respond to your request within 30 days. Where we cannot meet this timeframe, we will inform you of the earliest date by which we can provide a response. We may charge a reasonable fee for processing an access request (we will inform you of any applicable fee before processing the request). We may decline certain access or correction requests as permitted under the PDPA (for example, the Fifth Schedule to the PDPA), such as where disclosure could reveal another individual's personal data, prejudice ongoing negotiations, or where an exception otherwise applies, and we will explain our reasons for doing so.
13. Data Breach Notification
We have processes in place to detect, assess and respond to any data breach involving personal data in our possession or under our control. Where we assess that a data breach is a "notifiable data breach" under the PDPA — that is, it is likely to result in significant harm to affected individuals, or it affects 500 or more individuals — we will notify the PDPC as soon as practicable, and in any case within 3 calendar days of completing that assessment, and will notify affected individuals where required by law.

16. Children's Privacy
Our Channels are intended for individuals who are at least 18 years old or otherwise have the legal capacity to engage our services. We do not knowingly collect personal data from minors without the consent of a parent or legal guardian. If we become aware that we have inadvertently collected personal data from a minor without appropriate consent, we will take reasonable steps to delete it.
17. Third-Party Links
Our website and social media pages may contain links to third-party websites or services (for example, Instagram, Facebook, or embedded maps). This Privacy Policy does not apply to those third-party sites, and we are not responsible for their privacy practices. We encourage you to review the privacy policies of any third-party site you visit.
18. Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or to comply with legal requirements. Any changes will be posted on this page with an updated effective date.
